Who is responsible for your data?
Shared Mobility Rocks is an annual event organised jointly by three parties: Way To Go, Mpact, and a local co-organiser (which changes each year). Way To Go takes the lead in managing the event and is the primary point of contact for all matters relating to your personal data.

What personal data do we collect?
We collect the following categories of personal data:
- Name and email address — when you register for the event or subscribe to updates
- Professional information — such as your job title and organisation, when provided during registration
- Behavioural data — anonymised usage data collected via Google Analytics when you visit the Shared Mobility Rocks website
We do not collect payment details. Registration is handled via Eventbrite, which has its own privacy policy (see below).
Why do we use your data?
We use your personal data for the following purposes:
- To process your event registration and provide you with practical information about the event
- To send you practical updates about your registration and the event - these communications are sent via Eventim.light or by the local co-organiser of that year's edition
- To send you our newsletter with updates about Shared Mobility Rocks if you have given your consent - these communications are sent via Mailerlite
- To analyse website usage in order to improve our online presence (via anonymised analytics)
The legal basis for processing your data is:
- Contractual necessity — for registration and event management
- Consent — for any marketing communications you have opted into, and for cookies you accepted
How long do we keep your data?
We keep your personal data for as long as is necessary for the purposes described above, and in any case no longer than:
- Registration data: up to 12 months after the event
- Communications data: until you unsubscribe or withdraw consent
- Analytics data: in line with Google Analytics retention settings (maximum 26 months)
Do we share your data with third parties?
We work with the following third-party services that may process your data on our behalf:
- Local co-organiser - the host organisation for that year's edition may also send you event-related updates directly. The identity of the local co-organisers is communicated on the Shared Mobility Rocks website ahead of each edition.
- Eventim.light — used for event registration and for sending practical updates about your registration and the event. Eventim.light acts as an independent data controller for data processed through its platform. We encourage you to review Eventim's privacy policy.
- Google Analytics — used to collect anonymised website usage data. Google may process data in the United States. This processing is governed by Google's data processing terms and the EU-US Data Privacy Framework.
- Mailerlite - used to send our newsletter to people who have explicitly opted in. Mailerlite may process data in the United States. This processing is governed by Mailerlite's data processing terms and the EU-US Data Privacy Framework.
We do not sell your personal data to third parties. We do not share your data with sponsors or commercial partners without your explicit consent.
Your rights
Under the General Data Protection Regulation (GDPR), you have the following rights:
- Right of access — you may request a copy of the personal data we hold about you
- Right to rectification — you may ask us to correct inaccurate or incomplete data
- Right to erasure — you may ask us to delete your personal data
- Right to restriction — you may ask us to limit how we use your data
- Right to object — you may object to processing based on legitimate interests
- Right to data portability — you may request your data in a structured, machine-readable format
- Right to withdraw consent — where processing is based on consent, you may withdraw it at any time
